Running a competitive FTC team costs real money. Registration alone is $325 a season. A full robot kit runs $1,500 to $2,300 depending on configuration. A practice field — the set of mats, fences, and game elements required to actually rehearse the game — costs another $1,200. Travel to league meets, the qualifying tournament, and potentially State or Worlds adds up fast. By the time you add parts, tools, insurance, and filing fees, a well-equipped first-year team needs somewhere between $5,000 and $10,000 to operate without cutting corners.
We charge students zero dues. That commitment is non-negotiable — it is how we keep this team open to every student on the Forgotten Coast regardless of their family’s financial situation. It also means every dollar we spend has to come from somewhere else: sponsors, grants, donations, and the hard work of students who learn to ask for support and earn it. This path teaches exactly that. And it turns out that the skills involved — writing a compelling pitch, making a confident in-person ask, managing a relationship over time, writing a thank-you letter that actually gets read — are the same skills that land internships and jobs a few years from now.

Financial Sustainability Is Part of the Inspire Award
FIRST has built the award system so that a team surviving on one parent’s checkbook scores poorly in the areas that lead to the Inspire Award. The Connect Award rewards real community partnerships — and a sponsor who writes a check because a student made a compelling case for the team is exactly the kind of partnership judges recognize. The Motivate Award rewards teams that are genuinely woven into their community — and fundraising events, donor relationships, and grant-funded programs are evidence of that weaving.
More directly: financial sustainability shows up in the engineering portfolio. Teams that can show diverse revenue — multiple sponsors, a successful grant application, a community fundraiser — demonstrate organizational maturity that judges associate with Inspire Award-level teams. A team funded entirely by one source, or a team that doesn’t discuss finances at all, raises a quiet flag. Start building a real funding base in the first season, document it properly, and carry it into the portfolio.

The Legal Foundation
Why the 501(c)(3) Is the First Investment We Made
No 501(c)(3) — No Corporate Dollars
Most companies will only write a check to an organization that can give them a tax-deductible receipt. Without 501(c)(3) status, every sponsorship conversation with a business hits the same wall: “We’d love to help, but our policy requires a registered non-profit.” With it, that wall disappears — and the same ask gets a different answer, often a larger one.
We will be registered as a Florida LLC and pursuing federal 501(c)(3) non-profit status. The $400 in filing fees is one of the highest-return investments on our entire budget. It also opens the door to liability insurance at reasonable rates — which is required by some schools, libraries, and community centers where we want to hold events. Once 501(c)(3) status is in place, every contribution to the team is tax-deductible for the donor. That matters to local businesses, and it matters to the grant programs described below.
Where the Money Comes From
Four Categories of Funding Worth Pursuing
Local Business Sponsors
The most direct source. Law firms, medical practices, contractors, restaurants, real estate agencies, insurance companies, and retail businesses on the Forgotten Coast. The ask is simple, the benefit is real, and a student walking in with a sponsor packet is more effective than any email.
DonorsChoose
A public crowdfunding platform designed for educators and school programs. Donors across the country fund projects they believe in. A well-written DonorsChoose project describing specific equipment needs — with photos — has a strong track record in STEM programs.
Corporate STEM Grants
RTX (Raytheon), Boeing, Lockheed Martin, Google, and dozens of other major companies operate community STEM grant programs. Many of them explicitly list FIRST Robotics teams as priority recipients. These require a written application and take months — start in the summer before the season begins.
Local Foundations & Civic Groups
Community foundations, Rotary clubs, the Chamber of Commerce, and regional family foundations often fund youth STEM programs. Many are actively looking for organizations exactly like ours. The ask is usually a short letter of inquiry or a simple application — far less intimidating than a federal grant.

How to Build a Real Funding Base From Scratch
Build Your Sponsor Prospect List
Before you write a single word of a pitch letter, make a list of every realistic target in the area. Think in categories: businesses where team members or their families are already customers, employers of team members’ parents, companies that do business with schools or local government, and organizations that have visibly supported youth or STEM programs in the past.
For each prospect, note who the right contact is — not just the company name. A pitch letter addressed to “The Owner” of a business you can walk into is weaker than one addressed to “Ms. Garcia” because a team member’s parent told you that is who handles community giving. The research takes time. It is worth it. A targeted list of twenty real prospects will outperform a blasted email to fifty strangers every time.
Write the Sponsor Pitch Letter and Build the Sponsor Packet
The pitch letter is a one-page document written by a student, signed by a student, and delivered personally whenever possible. It is not a form letter. It names the business, acknowledges something specific about them, explains what the team is and why it exists, describes exactly what the sponsorship money pays for, and makes a specific ask — a dollar amount, not a vague invitation to “support us.”
The sponsor packet accompanies the letter. It includes: a one-page team overview with photos, a clear description of what sponsors receive in return (logo on the robot, on the website, on team shirts, mentions in the portfolio and in the judges’ room), the team’s 501(c)(3) status and tax-deductibility information, and contact information for follow-up. Keep it short. A two-to-three page packet that is designed well is more effective than a ten-page binder that nobody reads past the first page.
Make the In-Person Ask — Five Real Businesses
The capstone of this path requires sending or delivering five sponsorship asks to real local businesses. In-person is almost always more effective than email — a student who walks into a business, introduces themselves, and hands over a packet is harder to ignore than a message that gets filtered into a promotions folder. Call ahead when possible. Dress like you are representing something worth funding, because you are.
Practice the ask before you go. It should take about ninety seconds: who you are, what the team does, what the money pays for, what the sponsor gets in return, and the specific amount you are asking for. Anticipate two objections — “we don’t have budget right now” and “we’d need to talk to corporate” — and have a gracious, prepared response to each. The goal of the first visit is not always a yes. Sometimes it is planting a seed that becomes a yes in year two.
Apply for at Least One Grant
Grant applications are a different skill than sponsor pitches. They are longer, more structured, and require you to describe your program in terms of measurable impact and community benefit — not just what the money pays for. The good news is that the work you did for the engineering portfolio and the outreach documentation translates directly. You already have the impact language, the attendance numbers, and the community partnership descriptions. A grant application is largely a reorganization of things you have already written.
Start with DonorsChoose if the team qualifies through a school connection — it is the lowest barrier and has a strong track record. Then look at the RTX and Boeing community grant programs, which explicitly list FIRST Robotics teams as eligible recipients. Submit the application early. Most grant cycles have deadlines that require planning months in advance, and a late application is no application at all.
The Thank-You Letter — the Most Underrated Skill on This List
Every sponsor who gives anything — money, parts, time, a meeting — gets a personal thank-you letter within one week. Not an email. A letter, on paper, signed by a student. This is the discipline that converts a one-time donor into a multi-year sponsor. It costs a stamp and fifteen minutes. Teams that skip it routinely lose sponsors they could have kept.
The letter is short: thank the sponsor by name, describe specifically what their contribution is paying for, include one sentence about what the team accomplished with their support, and invite them to follow the team’s progress on the website. If the sponsor attended an event or met team members, mention it. At the end of the season, send a second letter with the season results — how many events you ran, how many students you reached, whether you advanced. That second letter is what gets you renewed for year two without having to make the ask again from scratch.
Track Everything and Integrate into the Portfolio
Every sponsorship conversation, every grant application, every donation received, and every thank-you letter sent goes into a running fundraising log. This is not just good organizational practice — it is the source material for the team’s financial documentation in the engineering portfolio, and for the answer you give judges when they ask how the team sustains itself.
The monthly financial reports published on the team website — reconciled in Quicken by the student treasurer — are both a transparency practice and a portfolio asset. A team that can show a judge an actual published monthly report with multiple revenue sources is demonstrating organizational maturity that almost no rookie team achieves. Do it from the first month and keep doing it.

“Hi, my name is [Name] — I’m a student with Ducktape Robotics, a FIRST Tech Challenge robotics team based here on the Forgotten Coast. Do you have about two minutes? I’d love to tell you what we’re doing.”
What We Are (20 seconds)“We’re a high school robotics team that competes in FIRST Tech Challenge — a national program where student teams design, build, and program robots. We’re a 501(c)(3) non-profit and we charge students zero dues, so the team is open to every kid in the area regardless of what their family can afford.”
What the Money Pays For (20 seconds)“We’re raising funds for our competition season — registration, robot parts, and a practice field. Our total season budget is around $6,000. We’re a rookie team and we’re building this from the ground up.”
What the Sponsor Gets (20 seconds)“Sponsors at the [tier] level get their logo on our robot, on our team shirts, and on our website. We’ll also mention you in our engineering portfolio — the document that goes in front of the competition judges — and in our judges’ room presentation.
